Build a practical exhibition print list for UAE events, from stand graphics and product labels to staff clothing, giveaways, approvals and packing.

An exhibition order is more than banners and gifts. You need materials that help visitors find the stand, understand the offer, discuss the product and contact you later. Build the list around those jobs, then confirm the current event manual before approving production.

Start with the stand and organiser's requirements

Ask for the stand drawing, shell-scheme specification or approved contractor layout. Confirm the exact dimensions and visible areas before designing graphics. Do not assume a previous event's panel sizes or installation rules apply to this one.

Official UAE exhibition resources illustrate why this matters. FESPA Middle East's manual hub includes fascia, directional signage and stand-related forms; Beautyworld Dubai's exhibitor guide includes graphics, stand design, logistics and other submissions. Use the current edition supplied by your own organiser rather than copying deadlines from another show. FESPA manual hub · Beautyworld exhibitor guide

Build the print list around the visitor

Not every stand needs every item. Avoid ordering more material than your team can display, store or explain. A concise product sheet can be more useful than a large brochure that is already out of date.

Match the material to its location

Tell the printer whether a banner or board will be indoors or outdoors, how it will be supported and whether it will be reused. Confirm any relevant organiser requirements for fixing, installation, fire performance, hanging or floor graphics with the responsible contractor. Obtain the required approvals before production or installation.

For stickers, identify the receiving surface, expected duration and removal needs. A sticker intended for a sample box has a different job from a floor graphic. For product branding, compare UV DTF, direct print or another suitable method after a sample check.

Keep one approved information set

Use a shared list of the company name, product names, logo files, colours, contact details and QR destinations. Check Arabic and English wording at the final size. Assign one person to approve each final file so a late change does not leave different versions across banners and brochures.

Print and scan a QR proof. The linked page should work well on a phone, explain the same offer and provide a clear next step. Keep an editable master file and a dated production file for each item.

Plan samples, delivery and packing

Work backwards from stand handover, allowing for approval, samples, production, packing and transport. Confirm the venue receiving process and a named contact. Pack by stand area or event day, and label boxes so staff can find key items without opening the entire shipment.

Carry a small spare supply of business cards, name badges and essential product labels where practical. Save copies of approved artwork and the packing list with the event lead. After the show, record what was useful and what remained unused before ordering again.

Send one coordinated brief

Share the event, city, stand drawing, required materials, quantities, languages, budget range and handover date with Ask Lamasatna. A coordinated brief helps compare suitable services and identify dependencies before separate suppliers begin production.

Do we need venue approval for every printed item?

Requirements vary by event and installation. Confirm the relevant items with the organiser and stand contractor, particularly structures, hanging signs, floor materials and installation methods.

Can one supplier handle everything?

Some can; others specialise. Confirm responsibility for design, manufacture, delivery, installation and defects for each part of the order.
